How to Upload and Edit Documents

HOW TO UPLOAD & EDIT DOCUMENTS

A significant area on SquirrelFish’s Digital Asset Management systems is the Document Storage and Organisation area. This is where you can upload and organise documents of all different kinds and get them ready to share with your clients, partners, press and staff.

Clients typically use this area for documents such as presentations, brochures, example itineraries, fact sheets, rate sheets, terms and conditions, general information, maps, training and sales support documents of all kinds.

To get started with your Document Storage first log into SquirrelFish and then click directly on the UPLOAD DOCUMENT icon on your dashboard.

N.B If you are ever in another area of SquirrelFish and want to upload a document you can also do so by:

Clicking on the blue UPLOAD button on the top menu and then select UPLOAD MEDIA or,

Clicking on the “Burger Menu” (3 horizontal lines) in the top right corner and selecting the UPLOAD MEDIA button

You are now in the area where you can store upload all your documents. The process to upload and edit documents is much the same as for uploading images and videos.

If you manage various suppliers select the correct one from the OWNER dropdown box or leave as MYSELFdepending on who the document applies to.

Click the CHOOSE FILE button

Select from your computer which file you want to upload

If you want to add an image for this document to appear in the document library click on CHOOSE IMAGE and select that from your computer. It is best to choose a low resolution image.

Check that the COUNTRY is correct

Add a good TITLE to explain what the document it

If you want you can also add some text in the CONTENT box to describe what the document contains.

 Add CATEGORIES and TAGS as you learned about in uploading images to help users find different kinds of documentation more easily.

When you are ready click SAVE and the document will be published into the DOCUMENTS section and be visible to your connections.

TIPS FOR UPLOADING DOCUMENTS 

– Don’t have too many CATEGORIES… you can always add lots and lots of TAGS to help the word search function

– Don’t have the same category as TAGS… use TAGS for different words associated with your image or video

– Add GREAT TITLES… Put as much as possible in the title of your image or video so that users know exactly what it is when they download it. It also helps with the word search function of course.

– Set REMINDERS… Don’t forget to set a reminder date for resources that you may need to check are up to date at a certain point in the future.

 

DOCUMENT CATEGORIES

It is best to try and create a few main categories that help people find what they are looking for quickly. If in doubt do not add a category but use a tag or make sure the word is in the title. E.g

DOCUMENT TAGS

Tags can be used more liberally as a way to help users find images that fit a particular theme.
