How to: Optimise Search for Images and Videos

GUIDELINES FOR ENTERING RESOURCES INTO SQUIRREL FISH

If you want to make sure that your digital resources are most easily found by your clients, press contacts and staff we highly recommend that you optimise your titles, categories, tags and copyright information.

Some key areas to think about include:

– Don’t have too many CATEGORIES… you can always add lots and lots of TAGS to help the word search function

– Don’t have the same category as TAGS… use TAGS for different words associated with your image or video

– Add GREAT TITLES… Put as much as possible in the title of your image or video so that users know exactly what it is when they download it. It also helps with the word search function of course.

– Add COPYRIGHT information… Don’t forget to put copyright information. This is a blessing for your clients to know the exact copyright information for an image or video they may want to use in their marketing to promote you.

– Set REMINDERS… Don’t forget to set a reminder date for resources that you may need to check are up to date at a certain point in the future.

Here are some more tips on how to get the most out of SquirrelFish by optimising the organisation of your digital resources within the system and make sure your clients, press and staff can find exactly what they need in the shortest time and with the least amount of hassle.

IMAGE TITLES

The better you title images the easier it is for clients to find them on Squirrel Fish and once they have downloaded them.

HOTEL Image Titles

Description of the image eg room type – Hotel Name – Area

e.g Garden View Suite – St Regis – San Miguel Allende

GENERAL Image Titles

Description of the image – Town/Place – Area

e.g Hot Air Balloon Ride – Teotiuacan – Mexico City

IMAGE CATEGORIES

It is best to try and create a few main categories that help people find what they are looking for quickly. If in doubt do not add a category but use a tag or make sure the word is in the title.

HOTEL Categories

Categories that are typically used for hotels include:

ACCOMODATIONS

INTERIOR

EXTERIOR

DINING

SPA

EXPERIENCES

GENERAL Destination Images

Categories that are typically used are:

NAMES OF KEY TOWNS / DESTINATIONS / ATTRACTIONS

TOURS / EXPERIENCES

PEOPLE

FOOD & WINE / GASTRONOMY

WILDLIFE

BEACH

TAGS FOR IMAGES

Tags can be used more liberally as a way to help users find images that fit a particular theme.

ROOM WITH A VIEW – BATHROOM – GYM – BAR – SUNSET – FAMILY – WELLNESS – SUITE – VILLA – GARDEN – ART – KING – TWIN

IMAGE COPYRIGHT INFO

It is very useful for the people using your images to have clear information about the copyright of each image and the kind of permission they have to use it. You can put this information in the “Copyright” box.

Can they use the image copyright free in any way they want or are there restrictions?

Do they need to put any copyright text below the image when using it?

Can they use the image for digital and print marketing of all kinds?

For example…

“This image is the property of “Name of Supplier” and can only be used copyright free for both digital and print marketing when promoting services that you intend to contract to “Name of Supplier”

DOCUMENT TITLES

The better you title documents the easier it is for clients to find them on Squirrel Fish and once they have downloaded them.

As well as being the most user friendly and cost effective system to store and share our marketing information with our clients, a huge reason we use it is that it means our clients and staff always have access to the latest resources. We all use SquirrelFish as a central intranet so no need to download and store things elsewhere where it may get out of date.
